      1. Speed Privacy Policy

      The privacy of individuals and the security of their personal data is important to all companies within the Speed Group ("Speed"), which is responsible for ensuring that all personal data is processed correctly and in accordance with applicable data protection legislation. The purpose of providing this privacy policy is to clarify why and how we process personal data. We therefore ask you to read the Privacy Policy carefully and to contact us if you have any questions about its content.

      2. Scope of the Privacy Policy

      2.1 To whom does the policy apply

      This Privacy Policy applies to individuals who are candidates, employees, customers, suppliers and other stakeholders. Different chapters will be relevant to you depending on your relationship with Speed.

      2.2 To what does the policy apply

      This Privacy Policy regulates how Speed collects and processes personal data in order to provide our services within Logistics, Production, Staffing, Recruitment and Training, hereinafter referred to as "Services". The policy also regulates the processing of personal data for individuals at the parties with whom Speed has a business relationship, such as suppliers and customers, and at potential future customers.

      3. Processing of personal data

      Speed's processing of personal data is described below based on your relationship with Speed.

      3.1 For you as a candidate or employee

      3.1.1 The purposes of the processing of personal data

      Personal data is processed only for the purposes and purposes described in this Privacy Policy. Speed only processes personal data to the extent that such processing is necessary in order to provide our services or other purposes as described below. This also applies to sensitive personal data. Speed processes the personal data of job applicants and employees in order to:

      • (a) provide our services to Speed's customers and offer you the opportunity to be part of it
      • (b) administer our relationship with you and, where you are an employee, fulfill our obligations as an employer in accordance with the employment contract and labor laws and agreements
      • (c) deal with any cases of alleged discrimination, handle disputes and complaints against you or Speed from customers and suppliers
      • (d) conduct internal demographic studies and optimize Speed's operations

      3.1.2 Personal data

      Below you will find information about the types of personal data Speed processes and how Speed may receive/collect this data.

      3.1.2.1 Candidate

      The personal data Speed processes about you as a candidate is based on the information you provide to us via Speed's web portal or through contact with Speed's recruiters or other internal staff. Avoid providing us with personal data that you do not consent to us processing and limit the disclosure of personal data to what is relevant to the recruitment process. Speed will not process your personal data without your prior consent in connection with your application.

      The personal data we may process about you includes name, address, e-mail address, social security number, grades, certificates, education and work experience, photograph, test results, information from background checks, results from drug tests, information from a reference person (such as reviews and health, e.g. notes on sick leave), etc. In the event that you agree to be photographed or that you provide a photograph of yourself without Speed's request, you consent to Speed processing such photographs.

      It may be that in connection with the performance of tests, at our request, you may be required to agree to additional conditions for processing your personal data.

      Due to the fact that some of Speed's customers place high security requirements on individuals, we may in some cases need to perform background checks, credit checks, health checks and/or drug tests on you. Such checks may include sensitive personal data about you and you will be informed and in some cases be required to give specific consent before such a check is carried out.

      As part of a background check, Speed may ask you to provide an extract from the criminal record. It is up to you to order such an extract from the relevant authority. It is always up to you to decide whether you want to order an extract from the criminal record. If you choose not to do so, it may affect your chances of being considered for the post. The extract will be opened by you together with a representative from Speed. The information in a criminal record extract is handled with the utmost confidentiality and will never be saved or otherwise processed by Speed. However, Speed may verbally reconcile the result with the customer in cases where there is doubt about suitability for the service.

      Speed may also ask you to provide additional personal data, in which case you will be further informed and specifically approve this. Such personal data provided/processed by special consent will also be subject to this Privacy Policy.

      3.1.2.2 Employees

      The personal data we will process about you consists of, in addition to the data set out in section 3.1.2.1 (Candidate), inter alia, contact details of relatives, salary and account details, citizenship and/or work permit status data. As an employer, we will also process data obtained in the context of employee and salary interviews.

      Speed may also need to process sensitive personal data about you, such as data about your health. Health data may, for example, need to be processed in order for Speed to fulfill its obligations as an employer and in accordance with our work environment responsibility.
      Your personal data is processed in our various business systems depending on your role. All employees' personal data is registered in the systems that handle time accounting and payroll.

      3.1.3 Storage of personal data

      How long personal data is stored depends on the personal data concerned and the purpose of its processing. The data you register in your profile or that we at Speed register in our business system will be saved for as long as your account is active, during the ongoing contractual relationship and thereafter, in some cases, for a period required by law. Your account is considered inactive if you have not logged in to it for such a longer period that gives Speed reason to believe that your personal data has become outdated, you do not have an employment relationship with Speed or you have withdrawn your consent to Speed's processing of your personal data.

      Speed will as a main rule save personal data relating to:

      • (a) data linked to the application and recruitment process, during the current year for the latest activity and thereafter for three (3) years in cases where no employment contract has been concluded
      • (b) employment contracts, during the period of employment and for two (2) years thereafter
      • (c) customer and supplier contracts and data on business events, such as data on timesheets, participants, assignments, salaries, invoices, declarations, financial statements, for the duration of the contract and thereafter for ten (10) years
      • (d) control data, until the termination of Speed's pension obligations

       

      3.2 For you as a customer, potential customer or supplier

      3.2.1 Purposes of processing personal data

      Personal data is processed only for the purposes and purposes described in this Privacy Policy. If you choose not to provide us with certain personal data, it may affect the use of the Service or the provision of the Service.

      Speed only processes personal data to the extent that such processing is necessary for the Service and for services provided by suppliers to Speed or for such other purposes as set out below. This also applies to sensitive personal data.

      Speed processes personal data about customers', potential customers' and suppliers' employees in order to:

      • (a) enable you to access the Service or provide other services to Speed;
      • (b) administer our relationship with you;
      • (c) enable Speed to manage its obligations to you or the individual concerned, handle cases of alleged discrimination, handle disputes and complaints; and
      • (d) enable future business relationships.

      3.2.2 Personal data

      Speed may also request the individual to provide additional personal data than what is stated below. Such personal data provided/processed by special consent will also be subject to this Privacy Policy.

      3.2.2.1 Customers and potential customers

      Speed may process the personal data of contact persons. Such information includes name, address, e-mail address, position, responsibilities and other information necessary for the provision and follow-up of the Service and to enable future business relationships. If you are a customer of ours in the capacity of a training participant, we also process data about your training results.

      3.2.2.2 Suppliers

      Speed may process personal data of contact persons and other employees. Such personal data includes the data listed in section 3.2.2.1 (Customers). In some cases, it may include data in accordance with 3.1.2.1 (Candidate), usually when you provide sub-consultancy services. Only the data necessary for the provision and follow-up of the Service, to ensure a good delivery of services to Speed and to enable future business relationships are processed.

      3.2.3 Storage of personal data

      How long a personal data will be stored depends on the personal data in question and the purpose of its processing. Speed does not retain personal data for a longer period than is necessary for the purposes for which it was collected, unless otherwise provided by law.

      The data that you as a supplier register in your profile (s) or that Speed registers in Speed's business system will be stored as long as the respective account is active or during the ongoing contractual relationship. An account is considered inactive if no one has logged in to it for such a long period that gives Speed reason to believe that the personal data has become obsolete or we are notified that this is the case.

      As a general rule, Speed will save personal data that occurs in:

      • (a) application and recruitment processes, during the current year for the last activity and thereafter for three (3) years;
      • (b) customer and supplier contracts and data on business events, such as data on timesheets, participants, assignments, salary, invoice, declarations, financial statements, for the duration of the contract and thereafter for ten (10) years.

      3.3 Personal data for marketing purposes

      The information that Speed collects and processes may, by the relevant Speed company and other companies within the Speed Group, be used for marketing and market research in order to provide candidates, employees, customers, potential customers and suppliers with a better experience and improve and optimize the quality of the Service (for example, by displaying content that may be of interest to you and delivering more relevant information to you).

      In the event that you no longer wish to receive marketing, you can contact us and indicate that you do not wish to be contacted for marketing purposes.

      3.4 Use of Speed's website and cookies

      We also use third-party analytics services on our websites, such as Google Analytics. The analytics providers that manage these services use technologies such as cookies, web server logs and web beacons to help us analyze how you use our websites. The information collected through these methods (including IP address) may be disclosed to these analytics providers and other interested third parties who use this information to, for example, evaluate the use of the websites.       If you do not wish to accept cookies, your browser can be set to automatically refuse the storage of cookies or to inform you each time the website requests to store a cookie.       4. Protection of personal data

      Speed has taken appropriate technical and organizational measures to protect personal data against loss, misuse, unauthorized access, disclosure, alteration and destruction. To ensure that personal data is processed in a secure and confidential manner, we use data networks that are intrusion-protected with, among other things, firewalls, access restriction and password protection. To ensure the privacy of the personal data you provide over the internet, we may use encryption technology when transmitting such personal data over the internet to our servers. Speed's employees and suppliers are bound by confidentiality agreements and are required to comply with Speed's rules for information and IT security, this Privacy Policy and other internal regulations that further regulate the processing of personal data.

      5. Sharing of personal data between companies within Speed Group

      As a general rule, Speed shares personal data originating from candidates, employees, customers and suppliers' employees with all companies within Speed Group in order to provide the Services. Sharing is necessary to be able to quickly and efficiently offer candidates and employees relevant and exciting assignments and offer the best expertise for Speed's customers and open up new business relationships. Sharing of personal data does not apply to participants in the context of Speed Competence training activities.

      As a general rule, sensitive personal data is not shared between the companies within Speed Group, with the exception of if the payroll management is in another Speed company. Before sharing sensitive personal data, Speed always makes an assessment of whether such sharing is necessary for the purpose for which the sensitive personal data was collected and whether further consent is needed for the sharing or whether there is legal support for sharing the personal data.

      A prerequisite for sharing personal data between companies within Speed Group is that it is undertaken in accordance with this Privacy Policy and relevant personal data legislation.

      6. Sharing of personal data outside companies in Speed Group

      Speed will not sell, disclose or disseminate personal data to third parties, except as stated in this Privacy Policy. Within the framework of the Service, personal data may be disclosed to one of Speed's customers, suppliers, subcontractors and partners if necessary for the performance and provision of the Service. Speed may also disclose your personal data to other third parties, such as Speed's suppliers for our business, for example for payroll administration, technical support, operation of IT systems, external testing companies or suppliers who handle job searches on our behalf. Parties to whom Speed may disclose personal data may, in exceptional cases, be located outside the European Economic Area, EEA, which means that personal data may be transferred to countries outside the EEA. If Speed discloses personal data to suppliers outside the EEA, we will take steps to ensure that the personal data remains protected and also take the necessary steps to lawfully transfer personal data to countries outside the EEA.

      Furthermore, we may disclose personal data if we are required to do so by applicable law, governmental or court order or if such disclosure is otherwise necessary to assist in a legal investigation. In the event that Speed is subject to a reorganization, merger or sale, we may transfer personal data to the relevant third party, provided that the third party undertakes to process the personal data in accordance with this Privacy Policy.

      The respective legal company above, with address Box 755, Prognosgatan 12, 504 64 Borås, is the data controller for the processing of your personal data and is responsible for ensuring that such processing is carried out in accordance with applicable legislation.

      8. Speed as data processor

      As a general rule, Speed is the controller of your personal data, but there may be situations where Speed is a processor instead. When Speed processes personal data as a data processor, it is on behalf of a third party and Speed is then bound by the instructions provided by the data controller. In these situations, Speed will ensure that processing takes place in accordance with applicable legislation and, as far as possible, in accordance with this Privacy Policy.

      9. Your rights

      According to the General Data Protection Regulation, you as an individual have the right to be informed of what personal data Speed processes about you and information about the scope and purpose of such processing. You as an individual also have the right to request that we correct any incorrect personal data or delete the personal data we have registered about you completely. You always have the right to withdraw any consent you have given and to notify us that you object to the continued processing of your personal data. If you have made such a request, our processing of your personal data will only continue to the extent that we are obliged to process it by law, regulation or official decision. To exercise your rights under the above, please contact us via privacy@speedgroup.se . You will need to be able to identify yourself securely in order for us to act in accordance with your request.

      10. Changes to this privacy policy

      Speed reserves the right to revise this Privacy Policy from time to time. The date of the most recent amendment is set out at the end of the Privacy Policy. If we make any changes to the Privacy Policy, we will publish these changes on our website. You are therefore advised to read this Privacy Policy regularly to be aware of any changes. If our processing of your personal data is based on consent and we change this Privacy Policy in a material way, we will inform you of these changes and, where necessary, request a new consent for further processing.
